Use the workforce plan data

Analyze workforce plan data, use it to drive your financial budget, or export it for use elsewhere.

When you publish a workforce plan, the plan data becomes available in the Workforce database for use across Phocas and elsewhere.

Analyze your workforce data to understand employee costs and headcount and help you make business decisions. You can drill down into the data and explore it from different perspectives in Flex Modes.

Each workforce plan is available as a separate stream in the Workforce database, named to match the plan.

Drive expense accounts in a budget

Use workforce plan data to drive expense accounts in your financial budget, so employee costs and headcount are reflected in your budget calculations.

In Budgets & Forecasts, add a Planning tab to your financial budget workbook and use it to drive the relevant expense accounts in the Main tab.

Export the plan

Export workforce data as an XLSX file to work with or share outside Phocas, or to use as the basis for re-importing changes later.

Want to choose the file name?

You can't customize the file name in Phocas, but your browser settings might allow you to choose it when you download the file. Learn how

Export the current values

Export the plan's values as at the selected As at date.

Click Plan > Export data > As at date. The file downloads to your computer.

Export the change timeline

Export every effective-dated change recorded for each employee, rather than only the values as at a single date. The exported file includes an effective date column so you can see, for every employee, exactly what changed and when.

Click Plan > Export data > Timeline. The file downloads to your computer.

Use this export to:

• Review a complete change history for one or more employees, for example, to check what's been changed and when, or to spot and correct mistakes.
• Create a file for importing multiple effective-dated changes at once, for example, when duplicating a plan's history into a new plan or bringing in a full payroll history.
