Copy or export data

Copy or export data for use elsewhere.

Copy selected data when you want to quickly use it elsewhere, or export the current data when you want to work with it in another application.

Configure the grid before you copy or export to make sure it contains the data you need.

Copy data

Copy data directly from the grid when you only need part of the current results.

Select the applicable cells, then use either of these methods:

  • Right-click the selection and select Copy.

  • Press Ctrl+C or Ctrl+Insert on Windows, or Cmd+C on Mac.

The copied data reflects your selection and can be pasted into another application, such as Microsoft Excel.

Export data

Export the current data when you want to create a file for use outside Phocas.

  1. Configure the grid to show the data you want.

  2. Select Export in the toolbar above the grid.

  3. Select the export format.

Depending on the available options, you can export the data as:

  • CSV: Creates a comma-separated values file for use in another application or process.

  • XLSX: Creates a Microsoft Excel workbook so you can continue working with the data in Excel.

XLSX exports preserve conditional formatting and nested rows. Nested rows are expanded by default.

Prepare the data before you export

The export is based on the current state of your analysis, so review the grid before exporting.

For example, you can focus on or exclude items, apply filters, select a mode, change the period or stream, select measures, add or remove properties, and change the grid configuration.

Check that the grid contains the data and level of detail you need before you export it.
