Manage grid settings
Control how data appears in the grid.
Use grid settings to change how your data appears, such as the order of period columns and whether total and average rows display.
In the toolbar, click Grid settings. The settings panel opens on the side of the page.
Reverse the period
Turn on Reverse the period to change the order of the period columns in the grid.
Use this setting when you want to display the most recent period first or last. For example, if the columns display from Dec to Jan, you can reverse them to show Jan to Dec instead.
Activity
Control which items (dimension entities) display in the grid based on whether they have transactions in the selected period.
This can help you identify items with no activity, such as customers who aren't buying or products that aren't selling, or view activity and no activity together to identify opportunities.
The Activity setting has three options:
Activity (default)
Show only items that have transactions in the selected period. Use this option to focus on active items and reduce noise in the grid.
No activity
Show only items that have no transactions in the selected period. Use this option to identify inactive items, such as customers who aren't buying or products that aren't selling.
The results depend on the data in the database. For example, they might include customers who have stopped trading or products that have been discontinued.
For example, suppose you're focusing on a sales rep's performance and want to identify customers who aren't buying products from them. Select the Customer dimension and turn on No activity. The grid updates to show customers who have bought from that sales rep previously but haven't bought from them in the selected period
All (activity + no activity)
Show all items, regardless of whether they have transactions in the selected period. Use this option to identify both where activity occurred and where it did not.
For example, suppose you are looking at products. You can see all products, including those that were not sold in the selected period.
Period to date
Align comparison periods to the same point in time.
Turn on Period to date to include transactions up to the same date as the selected period.
Use this setting when you want to compare incomplete periods fairly, such as comparing the current month to the same point in previous months.
For example, if today is 14 April, the April column shows data up to 14 April. When this setting is on, all other periods also show data up to the 14th of each month. This is reflected in the column headers.
Optional data
Use these settings to control which optional data is visible in the grid. Turn on a setting to show that data, or turn it off to hide it.
The available options are:
Sparklines
Show or hide sparklines for each row in the Total column.
Each sparkline is a mini chart that shows the trend over the selected period, helping you identify changes and anomalies at a glance. For example, a sharp decrease might indicate a drop in sales worth investigating.
Total row
Show or hide the TOTAL row at the top of the grid.
Others row
Use Show others when you have focused on selected items in a dimension and want to see the combined result for the remaining, unfocused items.
When Show others is on, the OTHERS row displays below the TOTAL row and shows the combined result for all unfocused items in each column. If you haven't focused on any items, the row displays zero values.
The value in the OTHERS row depends on the selected measure. For example, measures such as Value or Profit display a total, whereas Margin displays an average.
EXAMPLE: Compare focused items with all OTHER items
Suppose you filter the grid to show data for the UK, where the total revenue for all regions is $24,092,358.35.
You then select and focus on the top five performing regions. Their total revenue is $6,576,450.95.
Turn on Show others to display the combined revenue for all the remaining regions. The OTHERS row displays $17,515,907.40, allowing you to compare the top five regions with all other regions. Together, these values equal the total revenue for the UK.
EXAMPLE: Group OTHER items in a chart
Show others can also help simplify a chart when there are too many items to display clearly.
For example, you can focus on ten Sales Reps and turn on Show others. In a pie chart, the focused Sales Reps display individually and all remaining Sales Reps are grouped into an Others segment. This keeps the chart easier to read while retaining the contribution of the unfocused items.
Average row
Show or hide the AVERAGE row at the top of the grid.
Total column
Show or hide the Total column in the grid.
Average column
Show or hide the Average column at the top of the grid.
Rows that net to zero
Show or hide rows where the values across the grid add up to zero. For example, a customer might have an invoice for 100.00 and a credit note for -100.00, resulting in a net value of zero.
Personalization
Customize the font size of the data in the grid.
For example, you might increase the font size if the text is hard to read, or decrease it to fit more data on the screen.
Use the slider to increase or decrease the font size.
Changes apply immediately and only affect your view. Unlike the other grid settings, your personalization setting is saved and persists.
