Account settings

Learn about the personal settings you can change to customize your user account.

To access your account settings, click the button with your initials or image on it (in the top-right corner of the screen), then select Account settings.

The Settings page displays your basic account settings, along with your browser and version information, which are helpful details when troubleshooting an issue.

The available settings and options depend on your user permissions, but typically, you can update information about yourself, such as name, email address, and phone number. You can also add a profile picture to display instead of a box with your initials.

After you make changes, click Save.

Add your profile picture

  1. Click the profile picture.

  2. Click Choose and select a picture from your computer.

  3. Drag or resize the picture as required, then click Apply.

Enter or update your email address

An email address is compulsory for users on the latest version of Phocas. You might be asked to enter an email address the first time you sign in. A valid email address is also required to subscribe to favorites.

Ensure your email address on the Settings page is correct and update it as required.

Change the language

Select the language you want to use in Phocas.

This setting interacts with other language settings and affects how information is displayed across Phocas, as explained below.

Relationship with other language settings

The language you select on your Account settings page overrides both the default and browser language settings.

Default language

Your administrator can set a default language on the Configuration page. However, you can still select your own language on your Account settings page.

An administrator can also set a language for you on the User tab of your account page. This is different from you selecting a language yourself on your Account settings page.

Browser language settings

If no language is selected in Phocas, date formatting (see below) is based on the location settings of your browser (such as Chrome or Firefox). Each browser has their own way for changing their settings, see their help documentation for instructions.

Impacts of the language setting

The language setting affects the following areas of Phocas:

User interface (UI) text

Only some UI text is translated, and coverage varies between modules.

Phocas uses US English as the default language.

Some non-English languages are available for selection, but translations are no longer actively maintained. If you select one of these languages, you might see a mix of translated and English text.

The names of measures, properties or dimensions are never translated, as they are defined by the data in each database.

Number formatting

If you select German, French, Italian, Spanish or Portuguese, the European number format (commas for decimal points) is used.

Date formatting

The selected language determines the default date format across most Phocas modules.

If no language is selected globally or individually, Phocas uses the browser’s location settings to format dates. However, it's strongly recommended that the language is set in Phocas rather than relying on the web browser.

Examples:

  • English (United States) uses mm/dd/yyyy

  • English (United Kingdom) uses dd/mm/yyyy

Change the time zone

Your time zone is usually already set for you, but you select a different zone from the Timezone dropdown list. This setting can't be left blank.

Change your password

The ability to change (reset) your password depends on two settings managed by your administrator:

  • Authentication model: If your site uses the LDAP or SSO authentication model to manage how users sign in to Phocas, it's not possible for you to change your password in Phocas.

  • Password policy: Your site's password policy might prevent you from changing your password.

If it's possible for you to change your password in Phocas, you'll see the Change Password button next to the Save button. If not, contact your administrator about getting your password changed.

To change your password, click Change Password, enter your current password and new password, then confirm the new password and click Save.

Change your email notification preferences

Select when you want to receive notifications from Phocas via email:

  • Agenda items (for users who also have Phocas CRM).

  • Notice of database build and/or sync failures (for administrators).
